Every 1:1 meeting booked and on the record
Without booking tied to the event, meeting requests arrive by email and in the aisles, exhibitors keep their own spreadsheets, and nobody can say after the event which meetings actually happened. You cannot control who books, when, or for how long.
Attendees book from the attendee portal or the Event App, exhibitors manage their meetings in the Partner Portal, and attendee booking stays within the days, hours and ticket types you allow. Afterwards, you can see which meetings took place.
What you can do with Meeting Hub
Attendee and exhibitor booking
Attendees book other attendees or exhibitor teams from the attendee portal and the Event App. Exhibitors get a calendar, a meeting list and messages in their Partner Portal.
Slots that fit your schedule
Set meetings from 15 to 60 minutes, add a buffer so people can reach their next meeting, and choose the days and hours when meetings can take place.
Who books, and who accepts
Choose which ticket types can book. Then decide, for each audience, whether a request is confirmed right away or waits for the attendee or exhibitor receiving it to accept.
Organizer-created meetings
Create meetings on an attendee's behalf, import a prepared meeting list and export the full schedule for your onsite team.
Status on every meeting
Every meeting carries its status, from booked to happened or cancelled, so after the event you can show each exhibitor which meetings actually took place.
In practice
A trade show opens meeting booking for its two show days, in 20-minute slots with a 10-minute buffer, to delegates on the Buyer ticket only. Buyers book exhibitors from the Event App, and a rule sends each request to the exhibitor to accept. After the show, the organizer exports the meeting list and shows each exhibitor which meetings took place.
Availability and limits
Meeting Hub and the Event App are each added as add-ons; we will confirm both for your account.
Meeting Hub is also the switch that turns on attendee-to-exhibitor chat. A badge scan never opens a chat or books a meeting.
Availability is managed inside Eventpack. There is no two-way sync with Outlook, Google Calendar or Calendly, and a booked meeting's time cannot be moved.

Meeting Hub questions
They browse the opt-in networking directory and the exhibitor pages, then book within the times and ticket types you allow. If suggested meetings are a must-have for your event, raise it in your demo so we can be clear about the fit.
In Eventpack: attendees see them in the attendee portal and the Event App, and exhibitors in the Partner Portal. To change a time, cancel the meeting and book a new slot.
Meeting Hub: it turns on attendee-to-exhibitor chat as well as booking. A badge scan at the booth creates a lead for follow-up.
Attendees can book other attendees and exhibitor teams, limited to the ticket types you make eligible. Each rule decides whether a request is booked immediately or waits for the receiver to accept. You can also create meetings yourself and import a prepared list.
